PDF to Word: visual vs text mode, scanned PDFs

Turn a PDF into a .docx offline — visual mode preserves the layout, text mode gives editable paragraphs, and Scanned PDF to Word handles scans.

1FileTool converts PDF to Word offline on your Mac — the file is never uploaded, and the result lands as <name>_converted.docx. Three tools cover the job, and which one you pick depends on whether you care about the layout or the editable text.

Protect your originals first

Replace source is ON by default: the output overwrites the original file and no backup is kept. Before following along, open Settings › General and turn Replace source off, or pick a separate output folder.

The three tools

  • PDF Tools › PDF to Word — visual mode. Every page is embedded in the .docx as a full-page image, so the Word file looks exactly like the PDF. Best when the layout is what matters. (PDF to Word)
  • PDF Tools › Scanned PDF to Word — runs OCR over each page and writes plain paragraphs. Best when the PDF is a scan and you need editable text. (Scanned PDF to Word)
  • PDF Tools › Batch PDF to Word — visual mode applied to a whole dropped folder. (Batch PDF to Word)

What each mode produces

Visual mode — the default for PDF to Word and Batch PDF to Word — renders each PDF page and places it in the document as a picture. Fonts, tables, images and column layout survive pixel-for-pixel. The trade-off: the text inside is part of the image, so you cannot edit it in Word.

Text mode — what Scanned PDF to Word uses — extracts real text and writes it as ordinary paragraphs. The result is fully editable, but complex layouts collapse into a simple paragraph flow: a multi-column scan becomes one column of text.

Converting a scanned PDF

A scan is a photo of a page — there is no text layer to copy. Scanned PDF to Word runs English OCR on every page and writes the recognised words as paragraphs:

  1. Drop the scanned PDF onto Scanned PDF to Word.
  2. Run it. OCR takes noticeably longer than a normal conversion — a page has to be rendered and recognised.
  3. Open <name>_converted.docx and proof-read it. OCR on a clean scan is close; handwriting, stamps and faint text will need corrections.

If you only need the words — not a Word file — OCR writes a plain .txt instead.

If the run comes back empty

A PDF with no text layer and no recognisable image content can fail with an error telling you to try Scanned PDF to Word. Re-run the file through that tool — it OCRs instead of extracting.
